All Required Actions for Each Event
Let’s make your event even more successful.
This document will help guide you through all the steps you’ll want to consider for using paradesmart at your event (many steps aren’t applicable to some clients). Always feel free to reach out with questions! Remember, providing us content and requests early assures your needs are met on time!

ParadeSmart Information Manual
Generally months before event:
- Notify ParadeSmart of your new event and get a new contract
- Fill out your required forms:
- Get confirmation that your new event has been added to our backend system before you begin working in the Web-Manager.
Never make changes to the wrong year's event and never delete previous event information!
- Log into our Web-Manager (https://app.paradesmart.com/manage/ ) and begin adding/editing content

- Keep up to date with your website
- If you have an existing website, check it regularly
- Fill out your website form
- Approve changes made by paradesmart
- Make your own changes to pages in the manager
- Ask for other changes and requests over email
- If you are creating a new site, ensure you’ve finished your website section in the new client form.
After we receive all the required content, a ParadeSmart website can be live within a couple weeks (depending on how many customizations or revisions a client requests).
- Send revision requests over email
- Approve website
- Paradesmart moves draft to your domain
Several weeks before event:
- Prepare for Ticket Sales

- Fill out the Ticketing Form here: https://forms.gle/G3rgv4xxV2BVAP8U9
- Ensure Stripe or Authorize.net is set up correctly (These save from previous events)
- Add/edit Ticket Types (These save from previous events)
- Prepare Physical Tickets
- Get your QR codes from us in a spreadsheet
- Give spreadsheet to printer
- Send printer Draft to us for approval
- Prepare Digital Tickets
- Request digital ticket draft from ParadeSmart
- Approve Ticket email and PDFs
- Go live online with digital ticket sales
- Purchase test ticket online when tickets go live
At least few weeks or more before event:
- Log into our Web-Manager (https://app.paradesmart.com/manage/ ) and add yearly content

- Builders (These save from previous events) and their logins
- Homes
- Desired Webpages (These save from previous events - for app or website)
- Desired Ads (These save from previous events)
- Add Voting/Award Categories (These save from previous events)
- Virtual Parade links
- Desired Menu Links for the App
A week before event:
- Have a manager or your builders verify all home information is correct (on app or website)
- Check how all addresses look in your map (in the app)
Sometimes new developments won’t work with google or apple maps yet because they don’t have the new streets in their system. This can cause visitors to get lost a few streets away from the home. If you know this ahead of time, you can prepare with posted signs, or even contact the phone map providers (this is a slim but possible help).
At least 2 business days before event:
- Test everything is running smoothly in advance
This will make it much more likely you don't run into unexpected issues during the event. Here are things to make sure are working:
- Builders have downloaded the app
- Builders have logged in successfully
- Builders have test scanned a few tickets (digital and printed)
- Builders have sold a paper ticket (if they will be doing that this weekend)
- Leadership knows how to do all of these as well
- Virtual parade looks and works how you want
- Voting looks and works how you want
At the start of your event:
- Verify that everything is live, running and looking perfect at opening time
- If you have anything planned for a certain date/time other than the event opening (For example, voting may open after one week, or the virtual tour may be different dates than the physical event), please verify these are running at opening time
At the end of event:
- Utilize your reports and analytic information in the web manager
- Notify us if you would like any of the following changes to your website. Please let me know what you would like and when:
- Remove mentions of this years upcoming event
- Remove Unnecessary Items from the menu (such as map, buy tickets, survey, etc.)
- Add a thank you statement to this years visitors
- Or a marketing statement to come back soon for next years information
